Managing customer portal access in NexerIQ
NexerIQ includes a self-service portal where your customers can sign in to see their invoices, orders, documents, and more. You decide who gets access and exactly what they can see — all from the customer's own record. This guide is for administrators managing that access; it's separate from the experience your customers have once they're signed in.
Where to manage portal access
Open a customer from Customers and select the Portal Access tab. Here you'll see everyone who has been invited to the portal for this customer, along with their current status.
Inviting a portal user
- Click Invite to Portal.
- Enter the person's Email and a Display Name.
- Choose their Permissions — tick what they're allowed to see and do.
- Click Invite to Portal to send the invitation.
The person receives an invite and sets up their own sign-in to accept it.
Permissions you can grant
Permissions let you tailor exactly what a portal user can access:
- View invoices
- View sales orders
- View quotes
- View subscriptions
- View documents
- View work projects
- Submit support tickets and View support tickets
- Manage portal users — let this person invite and manage other portal users for the customer.
Grant only what each person needs; you can adjust it at any time.
Understanding access statuses
Each portal user shows a status so you always know where their access stands:
- Pending — invited, but they haven't accepted yet.
- Active — they've accepted and can sign in.
- Revoked — access has been withdrawn.
- Expired — the invitation lapsed before it was accepted.
- Disabled — access is turned off.
Managing existing access
- For an Active user, use Edit Permissions to change what they can see and do.
- Use Revoke Access to remove a person's access when they should no longer be able to sign in.
Troubleshooting
- They didn't get the invite — check the email address is correct; if it's wrong, revoke the entry and invite again with the right address.
- The invite shows Expired — invite the person again to send a fresh invitation.
- You don't see the Invite or management buttons — you need permission to manage portal users; ask whoever administers your company to grant it.
Tip: Give one trusted person at the customer the Manage portal users permission, and they can look after the rest of their team's access themselves — saving you the admin.
