Importing data into NexerIQ: bulk-add customers, products, and vendors from CSV, JSON, or TOON

Importing data into NexerIQ: bulk-add customers, products, and vendors from CSV, JSON, or TOON

Moving to NexerIQ, or just have a long list to add at once? You don't have to type every customer, product, or vendor in by hand. Most lists in the Web App let you import a file and create all the records in one go — and NexerIQ shows you a preview so you can check everything before anything is saved. Don't worry if you've never imported data before; this guide walks you through it step by step.

What you can import

The Import button appears on a data list when your role gives you permission to import that list, so the same simple flow works for customers, products, vendors, and many other lists. NexerIQ accepts three file formats:

  • CSV (.csv) — a spreadsheet saved as comma-separated values. This is the easiest option if your data is in Excel, Google Sheets, or Numbers — just use Save as / Export to CSV.
  • JSON (.json) — a list of records, handy if your data comes from another system or a developer prepared the file for you.
  • TOON (.toon) — NexerIQ's own compact data format.

Each file can be up to 10 MB. Save your file as UTF-8 so accented characters (á, é, ð, þ, ö, ü…) come through correctly.

Who can import

Because importing creates records in bulk, it's a separate permission from simply viewing a list. NexerIQ controls it per list: for example, importing customers and importing products are granted independently. If you don't see the Import button on a list, your role doesn't include permission to import it — ask whoever manages roles for your company to grant the import permission for that list. (Being able to view or even edit a list doesn't automatically include importing into it.)

Prepare your file

A little tidying up before you import saves time later:

  • CSV: the first row must be the column headers (for example Name, Email, Phone). Give each column a clear name — NexerIQ uses these to match your columns to the right fields. Separate values with commas.
  • JSON: the file should be a list (array) of records, each with the same field names.
  • TOON: field names must match the NexerIQ list exactly, because TOON files are read as complete records.

Tip: if you're not sure which columns a list expects, open that list in NexerIQ and look at its columns — those are the fields you can fill in.

Import your file, step by step

  1. Open the list you want to add to (for example Customers, Products, or Vendors).
  2. Open the options menu on the right of the toolbar and click Import. A panel slides in from the right.
  3. Click Select file and choose your .csv, .json, or .toon file. NexerIQ parses it right away — you'll briefly see Parsing file…
  4. Review the preview. At the top you'll see how many records ready there are, and — if anything needs attention — how many rows with errors.
  5. Check the Column mapping. Each Source column from your file is lined up against a Target property (the NexerIQ field). NexerIQ matches columns by name automatically; for CSV and JSON you can change any mapping from the dropdown, or pick — Ignore — to skip a column. (For TOON the mapping is fixed.)
  6. If there are errors, click Show errors to see exactly what's wrong — each one lists the Row, the Field, and the Reason.
  7. When you're happy, click Import [number] records. Use Back if you'd rather pick a different file first.

That's it — the valid records are added to your list straight away.

About rows with errors

NexerIQ imports only the rows that are valid. Any row with a problem — a misspelled value, a date in an unexpected format, a required field left blank — is left out and listed for you, so a few bad rows never block the rest of your import. Common things to check:

  • Dates should be written clearly, for example 2026-06-23.
  • Yes/no fields accept values like true/false, yes/no, or 1/0.
  • System-managed fields (such as created/modified dates) are filled in by NexerIQ and can't be imported.

To fix errors, correct the listed rows in your original file and import it again — already-imported rows aren't re-added unless they're in the new file too.

A safe way to start

If it's your first import, try a small file of just a few rows first. Once you've seen how the preview and mapping work, you can confidently import the full list. Because nothing is saved until you click Import [number] records, you can always review — or back out — before committing.
