Setting up the Asset Serial Numbers extension

This guide shows you how to switch on the Asset Serial Numbers extension and, optionally, enforce your own serial number formats. For what the extension does and why you'd use it, see Asset Serial Numbers extension: what it does.

Install and enable

  1. Go to Settings → Marketplace Extensions.
  2. Find the Asset Serial Numbers card (search for "serial number" if it's quicker), and click it to review the details and required permissions.
  3. Click Install to add it to your system.
  4. Click Enable. Because this extension has settings, a configuration drawer opens on the right — fill in any patterns you want (all are optional), then click Enable. You can leave everything blank to start and add patterns later with Configure.

Settings

All settings are optional. Leave them blank and serial numbers are simply tracked without format enforcement. Set a pattern to require a specific format:

  • Serial Number Regex Pattern — when set, your asset serial numbers are checked against this pattern when saved. Leave blank for no format rule.
  • Serial Number Validation Error — the message shown if a serial number doesn't match the pattern. Defaults to "Serial number format is invalid."
  • Vendor Serial Number Regex Pattern — when set, vendor serial numbers are checked against this pattern when saved. Leave blank for no format rule.
  • Vendor Serial Number Validation Error — the message shown if a vendor serial number doesn't match the pattern. Defaults to "Vendor serial number format is invalid."

The patterns are regular expressions, so a colleague who knows your numbering scheme can match it precisely. To change these later, open the card and click Configure, update the values, and click Save.

Using it day to day

Open any asset and you'll find a new Serial Tracking section with two fields:

  • Serial Number — your unique identifier for the asset. This is required, so you'll need to enter it before saving.
  • Vendor Serial Number — the manufacturer's or supplier's serial number, if you have it.

If you've set validation patterns, a value that doesn't match is rejected when you save, and your custom error message explains what's expected. Fix the value and save again.

Turning it off

To stop using it, open the card and click Disable — your data and settings are kept and you can re-enable any time. To remove it entirely, click Uninstall and confirm; this purges the serial fields and their values from your assets.

Tip: set a friendly Validation Error message that tells staff the exact format you expect — for example "Use 8 letters and digits, like NX12AB34" — so a rejected entry is easy to correct rather than puzzling.
