Setting up the Guest Acknowledge extension

Setting up the Guest Acknowledge extension

This guide shows you how to switch on the Guest Acknowledge extension so visitors are messaged when their host acknowledges their arrival. For what the extension does and why you'd use it, see Guest Acknowledge extension: what it does.

Install and enable

  1. Go to Settings → Marketplace Extensions.
  2. Find the Guest Acknowledge card (search for "guest acknowledge" if it's quicker), and click it to review the details and required permissions.
  3. Click Install to add it to your system.
  4. Click Enable. Because this extension has settings, a configuration drawer opens — fill in what you need and click Enable to switch it on.

Settings

You can adjust everything later from the card's Configure button. The available settings are:

  • Enabled by default — send notifications to the guest when the host acknowledges their arrival. Defaults to on.
  • Send SMS — send the guest an SMS on acknowledgement. Defaults to on.
  • Send email — send the guest an email on acknowledgement. Defaults to on.
  • SMS message template — the text of the SMS. You can use the placeholders {VisitorName}, {HostName}, and {Purpose}, which are filled in automatically for each visit.
  • Email message template — the body of the email. It supports Markdown formatting and the same {VisitorName}, {HostName}, and {Purpose} placeholders.

These notifications are managed alongside your other reception options on the Reception settings page (Settings → Reception).

Using it day to day

Once enabled, there's nothing extra for staff to do. When a host opens a visit and clicks Acknowledge, NexerIQ sends the guest your SMS and/or email message automatically. A message is only sent if the guest gave that contact detail at check-in, so it's worth encouraging visitors to add a phone number or email when they sign in.

Turning it off

To pause guest notifications, open the card and click Disable — your templates and settings are kept, and you can re-enable any time. To remove it entirely, click Uninstall and confirm; this purges the extension's stored values.

Tip: keep your message short and welcoming — something like "Hi {VisitorName}, your host knows you've arrived and is on the way." A warm one-liner reads beautifully on a phone screen.
