Setting up the Guest Auto Notification extension

This guide shows you how to switch on the Guest Auto Notification extension so visitors receive a confirmation when they check in. For what the extension does and why you'd use it, see Guest Auto Notification extension: what it does.

Install and enable

  1. Go to Settings → Marketplace Extensions.
  2. Find the Guest Auto Notification card (search for "guest notification" if it's quicker), and click it to review the details and required permissions.
  3. Click Install to add it to your system.
  4. Click Enable. Because this extension has settings, a configuration drawer opens — fill in what you need and click Enable to switch it on.

Settings

You can adjust everything later from the card's Configure button. The available settings are:

  • Send email to guest — send an email confirmation to the visitor when they check in. Defaults to on.
  • Email message — the body of the email. It supports Markdown formatting and the placeholders {VisitorName}, {HostName}, and {Purpose}, which are filled in automatically for each visit.
  • Send SMS to guest — send an SMS confirmation to the visitor when they check in. Defaults to on.
  • SMS message — the text of the SMS, using the same {VisitorName}, {HostName}, and {Purpose} placeholders.

These notifications are managed alongside your other reception options on the Reception settings page (Settings → Reception).

Using it day to day

Once enabled, it works on its own. Each time a guest checks in, NexerIQ sends them your email and/or SMS confirmation automatically. A message is only sent if the guest gave that contact detail at check-in, so encourage visitors to add a phone number or email when they sign in.

Turning it off

To pause confirmations, open the card and click Disable — your templates and settings are kept, and you can re-enable any time. To remove it entirely, click Uninstall and confirm; this purges the extension's stored values.

Tip: if you also run the Guest Acknowledge extension, think of these as two stages — Guest Auto Notification confirms the arrival at check-in, and Guest Acknowledge follows up once a host is on the way. Keep their wording distinct so guests can tell them apart.
